Borrowing Policy

Borrowing from the Library:

All material borrowed from the library must be issued by a library staff member.

Books are normally issued for a period of 30 days.

Back issues of periodicals (journals, magazines) are issued for three days.

Non-book material (DVDs etc) is issued for one day.

Equipment is issued for one day for LIFE North campus on-site use only, unless under staff supervision.

Titles in high demand may be issued for a shorter period, or may be recalled at the Librarian’s discretion.

Material marked ‘Reference’ or ‘Not for loan’ is for use in the Library and may not be borrowed.

Staff:

Staff may borrow up to 15 items at a time.

Staff may borrow ‘Reference’ or ‘Not for loan’ material on a one-day loan.

Arrangements may be made with the librarian to borrow material for teaching purposes on an extended loan.

Students:

Students may borrow up to five items at a time.

Students must show a current Student ID card to borrow material.

Renewing items on loan:

All borrowed material can have their loan period renewed up to three times upon request, providing no other user has reserved the title.

Renewals can be requested by email or phone giving the details of the item needing to be renewed (Students must also provide their Student ID number), or by visiting the Library in person.

Reserving titles:

Library users may reserve (go on the waiting list for) any item which is currently out on issue to another borrower or on display.

The library user will be sent an email notice when the item is available for them to collect (Students are responsible for ensuring that the Library has a record of their current email address).

The item will be held for five days. If not collected during that period the item will be made available to the next person on the waiting list or returned to the shelves.

Items on hold for Lifeway College staff and students not based at the LIFE North Campus will normally be  delivered to the appropriate campus within 2-3 working days.

Requesting titles:

Library users, who are unable to visit the library in person, may also request available titles through the web OPAC.  Items will normally be delivered to the LIFE Central campus within 2-3 working days.

Overdue items:

Every item on loan should be returned on, or before, the date it is due back, or the borrower should request a renewal. Borrowers can monitor their library loans and reservations online through Access-It.

An email will be sent once material is overdue (it is the Student’s responsibility to ensure that the Library has a record of their current email address).

A fine will be charged if material is not returned on time. Currently this is 10 cents per day per item from the first day an item is overdue. Accumulating excessive fines may result in suspension of library borrowing privileges.

Library users are responsible for any loss or damage to library material they have borrowed or are using, and will be required to pay the full cost of replacement.

All library books must be returned and any outstanding charges paid prior to graduation.

Policies

Collection Development Policy

The David Yaxley Memorial Library will be developed by identifying, selecting, managing and maintaining an outstanding collection of electronic and print resources that support the curriculum and research needs of Lifeway College’s faculty, students and staff. This will include facilitating access to resources and services which may not necessarily be physically located in, or owned by, the Library.

Selection

Selection will be made by the Librarian in collaboration with Academic Staff and with the approval of the Principal. Students are welcome to make recommendation through the Head of their School.

The physical collection will be complemented by electronic content and links to open access Internet resources added to in-house systems by the Librarian in consultation with the relevant Head of School.

Budget

The Library’s acquisition budget will be set by the Principal in consultation with the Librarian following submissions from the Head of each School as to their projected resource requirements.

The budget will be apportioned to each subject area according to the size of the School. Consideration will also be given to the level at which the subject is taught and the extent of the existing collection in this area when allocating funds.

A portion will also be set aside for professional development material and basic titles of a more general nature.

The financial year runs from July to June. With the academic year matching the calendar year, strategic planning for collection development will consider an 18-month period.

Selection criteria

Material being considered for acquisition will:

   Be pertinent (support the curriculum currently being taught, or due to be taught, at Lifeway College)

   Be accurate and up-to-date

   Be of an appropriate level

   Provide high quality informational content

   Be in the most appropriate format for anticipated usage

   Fill an identified gap in the collection or provide balance in a particular subject area

   Avoid unnecessary duplication (unless it is a primary text, no more than two copies will be purchased or retained)

   Be cost effective

The advantages/disadvantages of leasing content as opposed to perpetual access will be weighed.

Recreational material

It is expected that staff and students will use the resources of the Auckland Libraries, through the nearby local public library, for recreational material such as fiction, games and videos.

While the Library budget will not normally be used to purchase material in this category, a small collection will be maintained. Emphasis will be placed on quality items which affirm the values and mission of Lifeway College’s parent body, LIFE. Donations of such material will be particularly welcome.

Renewals

Continuing resources such as journals or databases, which incur an annual fee or subscription, will be assessed prior to renewal. The Librarian will consider the relevance and usage of each resource. A recommendation not to renew will be made to the appropriate Head of School for discussion, prior to a decision being actioned.

Cost of renewals will come from the budget of the same school as originally.

Replacements

Titles which have been lost or irreparably damaged will be considered for replacement. In addition to the normal selection criteria being applied, other factors will be the availability and cost of a replacement, past usage, plus the currency and relevance of the content.

For these reasons the levy on a borrower who has lost or damaged an item will not necessarily be used to purchase an exact replacement.

Selection process

To assist in the selection process the Librarian will liaise with Academic staff in order to identify areas of potential interest.

Recommendations will be sought. The reputation of the publisher and author will be considered.

Reviews, publishers’ web sites and promotional material will be used in the evaluation process.

Academic staff will forward their recommendations to the Head of their School, who will collate this and forward to the Librarian.

The Librarian will check the bibliographic details provided and assess availability and cost.

The Librarian, Principal and Head of each School will meet at least once a semester to plan acquisitions.

The Librarian will provide usage and allocation statistics to inform the decision making process.

Alternatives such as interlibrary loans will be considered for highly-specialised titles.

Donations

Gifts are welcomed.

Donations should be delivered or posted to the College for the attention of the Librarian.

Donated material will be reviewed by the Librarian, and where necessary the relevant Head of School, using the same criteria as that applied to purchased acquisitions. In addition, donated items should be in good physical condition, not already in stock, and of sufficient value to warrant the time and materials required to catalogue and process.

The Librarian should be consulted before large donations are made, as all donations which do not meet the necessary criteria will be discarded. Surplus material will not be returned to the donor.

Donation slips will be inserted in the front of items when the donor is known.

Copyright

All acquisitions will be in compliance with the Copyright Act 1994 and its amendments, plus the Films, Videos and Publications Classification Act 1993.

Note that the College holds a license from CLL (Copyright Licensing Limited) which extends the entitlement of teaching staff to make copies from a whole range of copyright protected print resources for educational purposes.

De-selection

The existing collection will be continually assessed for currency and relevance by the Librarian. Subject specialists will assist with stock evaluation.

Old material which is outdated or incorrect, in poor physical condition, or has been superseded by a later edition will be withdrawn (classic retrospective material may be retained).

Single issues and short runs of periodicals will be discarded once they are no longer current.

The culled items will be offered to staff and then students, with the remainder being recycled.

Material which relates to a subject area no longer being taught and which is not of general interest will also be withdrawn.

This material may be offered to another library, considered for sale, or offered to staff and students. The remainder will be recycled.

Summary

The intention is to maintain a quality collection which meets the needs of users and makes best use of the available space in the Library

Library Regulations

Students are expected show consideration to other library users at all times (this includes using headphones when listening to music and audio material, and no phone conversations).

No food is to be eaten in the Library and any drinks must be in a spill-proof bottle.

Library staff will accept no responsibility for the loss or misplacement of personal belongings left unattended in the Library.

The library staff member on duty has the right to inspect books and bags as a user exits.

The library staff member on duty has the right to instruct a user to leave the library if the user is causing a disturbance or violating any of the Library regulations.  Serious infringements will be reported to the Principal and may result in Library access being denied.

Library property is not to be marked or defaced in any way.
